How to Create a New Workflow with QuickBooks Bookkeeping Services
QuickBooks Online is a common software for bookkeeping for nonprofits and small businesses. While you may already be familiar with its usefulness as a bookkeeping tool, it has other helpful features.
QuickBooks Online Advanced gives users workflow management tools that allow them to send timed reminders to employees and clients alike. These automated reminders free up valuable manpower so you can focus on other elements of the organization!
QuickBooks Online Advanced offers a variety of workflow types, including:
- Sending invoices
- Invoice approvals
- Unsent invoice reminders
- Payment reminders
- Payment confirmations
- Overdue invoice notifications

You also have the option to create a custom workflow if none of the templates available suit your needs.
But how do you set up a new workflow? Follow these simple steps:
- Open the Workflows menu.
- Select Templates.
- Once you find the template you want to use, click Create.
- Name the workflow.
- Go to the Conditions section and select the conditions for your workflow to begin. If you need to set multiple conditions, click Add Condition.
- Go to the Actions section and select the actions for QuickBooks to execute when the conditions have been met.
- Select the checkbox for how reminders will be sent, either via email or mobile notification (which is available if the recipient uses the QuickBooks Online phone application).
- Edit reminder messages and subject lines as needed.
- Change variables as needed by entering # and selecting a variable to change (i.e. name, due date, payment amount).
- Click Save and Enable.
How to Manage Your Team’s Workflow with QuickBooks Online Bookkeeping Services
Once you’ve set up your QuickBooks workflows, you will want to manage and track them.
To see active tasks for your team, open the task menu. There, you will find prompts for the tasks to be done. For example, you will have the option to approve or deny an invoice or mark custom tasks as complete.
In order to edit a workflow:
- Open the Workflow menu.
- Open the My Workflows tab.
- Select the Actions menu.
- Pick an option from the dropdown menu, including edit, turn off, and delete.
